Approvals, Guest AI Chat, and More

New approval workflows for portals and shares, AI chat for portal guests, pending member invitations, and download security controls ship in this update.


This update brings several features that make Fastio more useful for teams working with external collaborators.

Approval Workflows

You can now route content through an approval process on shares and portals. When someone uploads or updates a file, it can be flagged for review. Approvers see pending items with approve and reject buttons right in the content viewer toolbar.

Key details:

  • Bulk operations let you approve, reject, or delete multiple items at once
  • Version tracking detects when a file changes after an approval was requested, greying out stale approvals so reviewers know to re-check
  • Guest support means external collaborators on portals can participate in the approval flow
  • Profile-scoped views let you see all your pending approvals across workspaces in one place

Approvals work on shared folders and portals. You can request approval from the task detail view, the file preview, or the portal header.

Guest AI Chat

Portals with Intelligence enabled can now offer AI chat to guests. Your external collaborators can ask questions about the files in the portal and get AI-powered answers, without needing a Fastio account.

This is controlled per-share with a “Guest AI Chat” toggle in portal settings. It requires Intelligence to be enabled on the workspace first. The AI respects the portal’s file scope, so guests only get answers based on files they have access to.

Pending Member Invitations

You can now invite people to workspaces and shares before they’ve created a Fastio account. Invited users show up as “pending” members with their email address and a pending badge. When they sign up, their membership activates automatically.

If you change your mind, you can cancel the invitation, which cleanly removes the pending member and all associated permissions.

Download Security

Shares now support three levels of download security:

  • Off: files are freely downloadable
  • Medium: files can be previewed but downloads require a one-time nonce. This prevents casual link sharing of download URLs.
  • High: downloads are fully restricted

This is configurable per-share from the Security tab in share settings. The MCP server also supports setting download security when creating or updating shares programmatically.

Invoices

A new Invoices tab in your billing settings shows your Stripe invoice history with links to hosted invoices and PDF downloads.

Smaller Improvements

  • “AI Chat” renamed to “Chat with AI Agent” with updated sparkles icons
  • Title and Summary fields added to the file info sidebar
  • Notes editor widened from 800px to 1200px
  • Portal back navigation fixed to return to current folder instead of root
  • Billing period dates now render correctly in Safari
